Gmail can be a very effective and productive way to keep in touch with your referrals while saving time.  Some of this is probably doable with other web based email accounts but I like Gmail's easy usage.  If you don't have a gmail account then consider creating one.  If you are using FireFox, Mike recommended adding this pluginto easily access and manage multiple gmail accounts.

There are two ways in Gmail to greet and respond to new ACME People Search referral email notice without having you checking your email all the time.  The canned response was previously discussed here.  Another way is to create a dedicated gmail account for new ACME referrals but set up a vacation response. 

In gmail, you can easily setup a vacation response by going to the upper right corner after logging into your inbox, click on setting  and scroll down to vacation responder under Generals tap.  Here you can craft a message just to great your referrals.  Any time you get a referral notice, the vacation responder would send a reply to your new referral.  If you don't want to create a new gmail account, setting up the canned response is probably better.  However, I like the vacation responder better because it would send out a response whenever you get an email.   In this email, you can do both by greeting a new referral by welcoming them to the ACME family as well as having a portion talking about ACME and sending them to a presell page or blog. 

This is a very powerful feature if you have signed up for traffic exchanges or websites where a lot of people send you advertisements with their email address in the From field.  When a vacation responder message is sent out immediately, you're not spamming anyone but more like a courtesy that you can't get to their message right away while adding a few lines about the ACME business opportunity.  I'm not sure if gmail would send out duplicate replies to new referrals if you have the canned response and vacation responder set up in the same account so just setup one or another.

Two other gmail features that I find very useful are your Signature and label function.  The signature box is in the same page as where you set your vacation response.  When the signatue is enabled, it will attach a signature to any outgoing email.  This could be a great way to send people to your facebook or twitter profile pages or even your blog too whenever you send out a message. 

I find the gmail label function useful when I'm trying to organize my emails both for ingoing and outgoing messages.  The label function is a button at the top of the gmail inbox.  You can select a group of messages and give them a label which would show up at the left hand side of your inbox.  I find this useful when I'm following up with my referrals on step1, step2 and step3 without requiring them to opt-in again with the GVO Eresponder right away.   Since I have already wrote messages to previous referrals, I could just label them as acme follow up and reuse those messages but making minor changes tailored to each referral's situation or step completion.  This saves me a lot of time so I don't have to rewrite the same messages to a new referral each time.  The transition from gmail to GVO Eresponder will be done in due time smile

I really can't say enough about The Big Goog's Mail Platform. It's really something.

The first thing you have to understand about Gmail, is that there are no Folders. As Milton described, Gmail uses Labels. It's an awesome concept. For all intents and purposes, you could treat them like individual folders, but the reality is that every piece of mail that isn't spam or trash, will be listed in "All Mail" chronologically. This allows you to do incredibly detailed searches on your mail, and never miss anything.

The Filtering capabilities are nothing short of amazing. You can create a filter to do anything you want, with any message you want. You can filter based on the To, From, and Subject fields, as well as based on "has the words" and "doesn't have the words". You can Add Labels, Add Stars, Skip The Inbox, Mark As Read, Forward, Delete, or Never Mark As Spam. I have several hundred filters and labels. Together, you can assign labels to certain messages, and have them skip the inbox completely. Nice for newsletters, and critical for things like safelists.

And let's not forget about Keyboard Shortcuts.

If you are into safelists, this will save you a LOT of time. No more scrolling to the "next post" link when you're clicking for credits. I use the wheel button on the "credits" link, with my left hand on the keyboard, so I can open 20 or so at a time in batches. Then I just go through them one at a time. When I close one, the next one is right there. When I open that many in batches, by the time I'm done opening the last one in the batch, the timer is done on the first one. As I go through them, I'm able to stay a few pages ahead of the timer, so I never have to think about it. I also have the Custom Keyboard Shortcuts Lab installed, which lets me choose which keys do what. Very nice.

If you use that technique in conjunction with detailed labels and filters, you can have hidden labels that don't appear on your sidebar, so as not to clutter up your "desk".

And no Gmail discussion would be complete without a nod to Labs. The experimental apps that make Gmail more, er..Robust.

My favorites are:

Quick Links, which adds a sidebar box with fast access to any bookmarkable URL in Gmail.
Superstars, which adds additional star Icons.
Custom Keyboard Shortcuts, as described above.
Custom Label Colors, which makes sorting and grouping easier.
Mark As Read Button, which adds the Mark As Read button to your main toolbar.
Import/Export Filters, which let's you import and export filters. (duh roll )
Title Tweaks, which adds the Current Label and Unread Count to the front of the title bar, so you can see unread counts when the tab is short.
Search Autocomplete, which adds suggestions to your search entries. (very nice)

Lots of great gmail tips there, Mike!  Using keyboard shortcuts is popular to programmers so they don't have to take their hand off the keyboard or need the mouse.  In order to use them, people have to turn on keyboard shortcuts capability in the settings and maybe have to log out and log back into your gmail account first.  At the beginning, it would take some time to get use to it and memorize the shortcut keys.  Afterwards, it becomes more natural and efficient.  I use the VIM editor to do a lot of stuff in case people want to know smile
